UK SOFTWARE FIELD GUIDE

How to choose a UK HR, payroll and workforce stack

A practical selection and acceptance process for people records, hiring, rotas, benefits and pay.

Start with the employee journey

Write down the journey of one employee before deciding how many applications to buy. A candidate accepts an offer, becomes a starter, receives a contract, works a rota, takes leave, chooses benefits and is paid. Every handover needs an owner and an agreed record. Put your current friction beside each step: duplicate entry, missing approval, late changes or unclear responsibility. This gives the shortlist a purpose. A broad suite can still leave an awkward payroll handover; separate specialist tools can work well when their connections are clear.

  • Identify the authoritative source for salary, contracted hours, bank details and start date.
  • List who prepares, approves and receives each change.

Compare complete UK configurations

Request a written configuration for the actual UK workforce. Include permanent and casual staff, multiple pay frequencies, part-time patterns, locations and the pension scheme. Distinguish product editions: a supplier's global HR page is not sufficient evidence of UK payroll. HMRC publishes information about recognised payroll software, but that should begin the evaluation rather than end it. Ask the pension provider and software supplier to confirm the supported submission route. Keep licence, managed service and professional advice responsibilities separate so the business knows who is accountable when something needs correction.

  • Price the normal recurring package after introductory discounts.
  • Record headcount bands, minimum charges, modules and implementation fees.

Run the difficult cases before the easy demo

Use a small set of fictitious workers that represents your operation. Include a mid-year joiner, a leaver, an overnight worker, someone changing hours and an employee with a statutory absence. Add a late timesheet and a salary change submitted after the nominal payroll cut-off. Require the supplier to show how those cases move between products, including the failed transfer and recovery path. A successful demonstration should produce records you can inspect, rather than a promise that an implementation consultant will make it work later.

  • Reconcile scheduled hours, approved payable hours and payroll inputs.
  • Ask a manager to complete approvals on a phone without administrator privileges.

Treat benefits as an administration process

Choose benefits for the workforce you actually have, then inspect the administration behind them. Discounts, recognition and flexible enrolment have different purposes. For a salary-sacrifice scheme, ask how eligibility, employee agreement, affordability checks, payroll deductions and provider records are kept aligned. Do not treat a catalogue entry as proof that these steps are automated. Test joining, changing and leaving a scheme. Review tax and employment implications with appropriate advisers for the chosen arrangements; a benefits portal cannot settle those questions for every employer.

  • Include employees without a company email address in the access test.
  • Compare participation by workforce segment rather than relying only on a headline total.

Evaluate AI and access together

For each AI claim, request a concrete task and the underlying evidence. An assistant answering a policy question should use the correct policy version and respect the employee's permissions. A hiring summary should remain traceable to the application, with a person responsible for the decision. A payroll anomaly flag should be tested with an intentional error and a legitimate exception. Ask which information goes to which providers, what is retained, and what can be disabled. The ICO's employment guidance is a useful starting point for worker-data questions.

  • Keep ordinary reminders and fixed-rule automation separate from AI scoring.
  • Document the human review point and the fallback when an answer is wrong.

Agree acceptance and exit before launch

Name an internal owner for each workflow and set measurable acceptance criteria. Run a parallel payroll and reconcile gross pay, deductions, net pay, pension totals, liabilities and the accounting journal. Agree how historic records, permissions and outstanding tasks will be migrated. Train managers on the few actions they must perform accurately, not just on navigation. Finally, obtain a sample export and a documented exit process while the supplier is still competing for the contract. Decide who will review errors and adoption after the first month and at the next renewal.

  • Retain a signed list of unresolved limitations and owners.
  • Do not close the old system until required records and reconciliation are secured.
