UK SOFTWARE FIELD GUIDE

A practical UK trial for inventory and purchasing software

Test the complete journey from a purchase request to received stock and a matched invoice before comparing subscription totals.

Start with the failure you need to remove

Inventory software answers what you own, where it sits and what can be promised to a customer. Procurement software answers who may commit money, which suppliers they should use and whether an invoice matches the authorised purchase. An ERP may cover both, but replacing the accounting system is a separate decision. Write down the two recurring failures costing your team most time: overselling, lost purchase approvals, disputed deliveries or invoices paid without the right evidence. Use those failures to choose the first trial, rather than starting with the longest feature list.

  • Name a warehouse owner and a finance owner.
  • Choose a recent real order, with confidential details replaced.
  • Agree which existing system remains the financial record.

Run one deliberately imperfect order

Create a purchase for ten units, receive six and leave four outstanding. Include freight, a damaged item and a supplier invoice that differs from the order. Ask the operator to explain available, reserved and physical quantities after every step. Then fulfil part of a customer order and process a return. The useful result is a coherent stock and financial history, not simply a green tick beside partial receipts. Cin7's purchase documentation distinguishes simple and advanced purchases for multiple deliveries; this is the sort of configuration detail a trial should expose before migration.

  • Keep the original order, receipt and invoice visible together.
  • Check the cost change after freight allocation.
  • Reconcile the final quantity to your expected calculation.

Make approval exceptions visible

Give a requester a small departmental budget and submit one purchase inside it and another above it. Replace the usual approver with a substitute, then change the order after approval. Ask which actions restart authorisation and which leave the original approval intact. Test a service purchase as well as physical goods. Precoro's documentation treats prepayment invoices differently in three-way matching and identifies changes that do not trigger matching. Your trial should therefore include the payment patterns you actually use, rather than assuming one successful invoice proves every control.

  • Test quantity, price and tax changes separately.
  • Record who may override an exception.
  • Ask how duplicates and credit notes are handled.

Price the operating shape of your business

Request the same scenario from every shortlisted supplier: named users, occasional approvers, warehouses, legal entities, annual orders, invoice volume and required integrations. Include onboarding, data preparation, support, scanners and connector maintenance. Keep published dollars or euros in their original currency until you have an actual UK quote. Ask the supplier to state the invoicing currency, tax basis, renewal rule and minimum term. A public-sector framework schedule can be useful evidence of packaging, but it does not establish the current commercial offer for your business.

  • Separate recurring charges from implementation work.
  • Include seasonal peaks and one additional warehouse.
  • Confirm whether read-only approvers consume licences.

Test AI and the exit route

Ask a stock assistant why it recommends a reorder and inspect the underlying dates, quantities and assumptions. Compare its answer with a small hand-checked example. Cin7 documents a six-month sales-history requirement for ForesightAI reports, making history quality a practical prerequisite. For invoice AI, insert a missing price and require human review before approval. Finish by exporting items, suppliers, orders, receipts and audit information. Assign ownership for failed synchronisations and request the recovery process in writing. Choose the system whose demonstrated workflow and running costs fit your operation; retain unverified features as questions for the next session.

  • Test with a restricted warehouse or finance user.
  • Record model usage limits and review responsibilities.
  • Keep the trial evidence beside the final quotation.
