UK SOFTWARE FIELD GUIDE
Pilot an AI service agent on a UK business workflow
A practical acceptance plan for phone agents, customer support AI and connected automation, including real handovers and complete usage costs.
Define one bounded service outcome
Choose a narrow task that has a clear success condition, such as checking an order, booking an available appointment or preparing a case for a specialist. Write down what the agent may read, what it may change and when it must stop. A realistic pilot includes a confused customer, missing information, an unavailable system and a request outside the agent's remit. Use the same cases for every candidate. A polished conversation is useful, but the business result is whether the correct action happened once, with sufficient evidence for a person to investigate it.
- Agree the success measure before seeing the demonstration.
- Separate answered questions from completed actions.
- Keep account changes and payments behind an explicit permission design.
Prove the UK telephone route
English-language support does not establish UK number availability. Ask the supplier to show the proposed number, carrier, inbound route and outbound caller identity. Determine whether an existing number is imported, forwarded or connected through a trunk. Retell documents an external SIP route, while directly managed number purchases are limited to the US and Canada. ElevenLabs distinguishes purchased Twilio numbers, which can receive calls, from verified caller IDs, which are outbound-only. These details belong in the deployment plan, not in assumptions made from a country flag.
- Call the proposed route from two different networks.
- Test caller identification, audio and a return call.
- Confirm number ownership and the exit or porting procedure in writing.
Make human handover part of the test
Ask for a person during a normal call, then repeat the request while the receiving team is unavailable. Inspect what the customer hears, what the employee sees and whether context arrives. A transfer that merely rings another number differs from a handover containing the request, verification state and work already completed. PolyAI documents context via configured headers and APIs. ElevenLabs' spoken warm-transfer option is limited to native Twilio conference mode. Retell offers different cold, warm and agentic transfer behaviours. Test the selected configuration rather than assuming every integration supports every option.
- Agree the timeout and fallback destination.
- Check what happens outside the team's working hours.
- Inspect the receiving employee's context instead of relying on a successful ring.
Inspect failures, changes and cost
Connect a sandbox record and deliberately make an integration fail. Check whether the workflow retries the failed step, reruns the entire process or asks for help. Repeating a completed side effect can create duplicate messages or bookings. Zapier documents distinct failed-step and whole-run replay modes; the distinction is worth testing in any platform. Keep a previous working configuration and show how a change reaches a test environment before production. Price the complete process: conversation duration, model usage, telephone legs, transferred-call time, AI resolution fees, automation execution and retained recordings.
- Run a duplicate event and check for duplicate actions.
- Compare a normal workload with a busy-period scenario.
- Ask which usage limits stop service and which trigger extra charges.
Review the evidence with the people who will operate it
Give support staff a small set of transcripts and action logs, including unsuccessful cases. Ask whether they can understand what happened and correct it. Have the organisation's responsible people review recording notices, retention, access, provider contracts and international processing arrangements for the proposed use. Product badges alone do not settle those questions. Keep the rollout limited until the operational owner can disable the agent, recover a failed workflow and take over a conversation. Expand by adding one new task and one new evaluation set at a time, preserving an accurate record of what has actually been demonstrated.
- Assign an owner for daily exceptions and recurring quality review.
- Export the logs needed for independent analysis.
- Re-run the saved cases after material model, prompt or integration changes.
